Privacy Policy

This Privacy Policy explains how Ontario Education Online (“OEO,” “we,” “us”) collects, uses, discloses, and protects personal information when you visit ontarioeducationonline.ca (the “Site”), enrol in a course or program, book a guidance session, complete a PLAR assessment, or contact us. It applies to students, parents and guardians, and visitors to the Site.

As a Ministry-inspected private school, we also keep student records under Ontario Ministry of Education requirements, explained in Student Records.

What Do We Do With Your Information?

When you enrol in a course or program, we collect the personal information needed to register the student, deliver the course, and issue Ontario credits. The table below shows what we collect in each situation.

We use this information to register students and deliver courses, assess and report achievement, issue report cards and transcripts, keep student records, meet our obligations as a Ministry-inspected school, process payments, provide guidance and support, keep the Site secure, and improve our courses and the Site.

Where permitted, we also use your contact information to send updates about our courses and programs. You can unsubscribe from marketing emails at any time using the link in the email or by contacting us.

Student Records

Every Ontario school that grants credits keeps official student records and reports to the Ministry of Education. Here is how that works at OEO.

Full-time students

OEO is your main school. We maintain your Ontario Student Record (OSR), including your Ontario Student Transcript (OST), and issue transcripts directly.

Students taking individual courses

Your home school keeps your OSR. When you finish a course, we send your final report card and credit to the school that holds it.

  • We report student enrolment and achievement to the Ministry of Education through the Ontario School Information System (OnSIS), using each student’s Ontario Education Number (OEN).
  • Ministry inspectors review student records when they inspect the school.
  • If you list OEO on your Ontario Universities’ Application Centre (OUAC) application, we upload your midterm and final marks to OUAC. We send transcripts to other schools and institutions when you ask us to.
  • Students can review their own Ontario Student Record. Parents and guardians can also review it while the student is under 18.

Online Learning and Exams

Courses run in Google Classroom. When you enrol, we create an OEO student email account for you on Google Workspace. It holds your coursework, submissions, and teacher feedback. Study tools included with your course, such as Gemini Notebook, are also provided by Google.

Final exams run on Quilgo, an online exam platform. Quilgo times your exam and monitors your screen while you write, which protects the academic integrity of your credit. No webcam is used and no live proctor watches you. Your teacher uses exam records only to grade the exam and review academic integrity.

Your teacher sees your coursework, marks, and messages. Our administrative team sees what it needs to register you, issue report cards and transcripts, and answer your questions.

Disclosure

We share personal information only as needed to run the school and the Site. Depending on your situation, we share it with:

  • The Ontario Ministry of Education, for required reporting and school inspections.
  • Your home school, when you take a course with us while attending another school.
  • OUAC and other schools or institutions, when you ask us to send your marks or transcript.
  • Co-op placement employers and workplace supervisors, to arrange and evaluate placements, and the Ontario government when we register a Registered Training Agreement for an apprenticeship pathway.
  • Parents and guardians of students under 18, about the student’s enrolment and progress.
  • Service providers that help us operate, such as our e-commerce platform provider, payment processors, learning and exam platforms, email and form tools, IT and security vendors, analytics providers, and advertising partners.

We may also share information with our financial, insurance, legal, accounting, or other professional advisors. We may disclose your personal information if we are required by law to do so, such as a report to a children’s aid society, to respond to lawful requests, to protect our rights and the rights of others, or to protect someone’s safety.

Additionally, we work with analytics and advertising partners that use cookies and similar technologies to help us market our courses and measure advertising effectiveness. We do not share coursework, marks, or student records with them, and we do not sell or rent personal information.

We publish testimonials, names, or photos of students and parents only with their permission.

Shopify & Payment

Our store is hosted on Shopify, which provides the online platform that allows us to offer our courses to you. Your order information is stored through Shopify’s secure data storage, databases, and application on a secure server behind a firewall.

Payments are processed by Shopify and our payment processors in accordance with the Payment Card Industry Data Security Standard (PCI-DSS). We do not see or store your full card number. If you check out with Shop Pay, Shopify also handles that account under its own privacy policy. Purchase transaction information is retained only as long as necessary to complete the transaction and meet applicable legal and operational requirements.

Data Retention

We retain personal information only for as long as necessary to fulfill the purposes for which it was collected, including to comply with applicable legal, accounting, tax, and reporting obligations.

Student records cannot be deleted on request while their retention period runs. Once personal information is no longer required, it is either securely destroyed or anonymized.

Third-Party Services

In general, third-party providers used by us will collect, use, and disclose your information only to the extent necessary to perform the services they provide to us. The main services we use include:

Some service providers may be located in a different jurisdiction than you or us, including outside of Canada, and your information may be transferred to or processed in those jurisdictions. When this happens, your information may be subject to the laws of the jurisdiction where it is processed.

We take reasonable steps to require service providers to protect personal information and use it only for authorized purposes.

Once you leave our Site or are redirected to a third-party website or application, you are no longer governed by this Privacy Policy. We recommend that you review the privacy policies of any third-party sites you visit.

Security

To protect personal information, we take reasonable precautions and follow industry best practices to reduce the risk of loss, misuse, unauthorized access, disclosure, alteration, or destruction. Access to student records is limited to the teachers and staff who need it for their work.

Information you submit through the Site is encrypted in transit, and card details are handled in accordance with PCI-DSS requirements. However, no method of transmission over the Internet or electronic storage is 100% secure.

If a breach of our safeguards creates a real risk of significant harm, we will notify the people affected and report it to the Office of the Privacy Commissioner of Canada, as the law requires.

Cookies

We use cookies and similar technologies (such as pixels and tags) to operate our Site, keep it secure, remember preferences, analyze traffic and performance (including through Google Analytics and Shopify analytics), and support advertising and measurement on other websites and platforms.

These technologies may collect information such as your IP address, device identifiers, browser information, pages viewed, actions taken on the Site, and approximate location (derived from IP).

Ad click details and guidance bookings

When you arrive from one of our ads, the link carries a click identifier (such as Google’s gclid, Meta’s fbclid, or TikTok’s ttclid) and campaign details. We store these in first-party cookies for up to 90 days. If you book a guidance session in that time, they are saved with your booking so we can see which ads lead to bookings. We report bookings to Google using only the click identifier and the booking time. We do not send your name, email address, or phone number.

Some advertising platforms may also receive hashed (scrambled) contact details, such as an email address, so they can match activity on our Site to their own users for ad measurement.

Your choices

Essential cookies are required for the Site to work and cannot be disabled. You can block or delete other cookies in your browser settings, opt out of Google Analytics with Google’s browser add-on, and manage ad personalization through Google’s My Ad Center, Meta’s ad preferences, and TikTok’s privacy settings.

International Transfers

Because we are based in Ontario, Canada, and use service providers in other countries, including the United States, your personal information may be transferred to or processed in jurisdictions outside your province, state, or country. While there, it may be accessible to courts, law enforcement, and national security authorities under local law. We take reasonable steps to protect information when it is transferred internationally, including by using contractual safeguards and other measures where required by law.

Students Under 18

Many OEO students are under 18, and some are under 14. This is how we handle their information.

Your Data Rights

You can ask to access the personal information we hold about you, ask us to correct it, or withdraw consent for optional uses such as marketing. To make a request, contact our team at info@ontarioeducationonline.ca.

We may need to confirm your identity before acting on a request. Some records, such as Ontario Student Records, must be kept for the periods the Ministry of Education sets, even if you ask us to delete them.

Changes to This Privacy Policy

We reserve the right to modify this Privacy Policy at any time. Changes and clarifications take effect when they are posted on the Site. If we make material changes, we will update the “Last updated” date at the top of this Policy and let current students and families know by email.

Appendix A

Canada

This Appendix applies to individuals located in Canada. We handle personal information in accordance with applicable Canadian privacy laws, including the Personal Information Protection and Electronic Documents Act (PIPEDA) and, where applicable, provincial privacy legislation. Student records are also governed by Ontario’s Education Act and the Ministry of Education’s Ontario Student Record Guideline.

You may request access to or correction of your personal information, subject to certain legal exceptions, by contacting us at info@ontarioeducationonline.ca. You may also withdraw your consent for marketing communications at any time by using the unsubscribe link provided in our messages or by contacting our team directly.

In instances where we use service providers located outside of Canada, such as in the United States, your personal information may be processed in those jurisdictions and may be subject to their local laws. We take reasonable steps to ensure that your personal information is protected and that all third-party service providers use it only for authorized purposes.

If you are not satisfied with our response to a privacy concern, you may file a complaint with the Office of the Privacy Commissioner of Canada.

Quebec residents

If you live in Quebec, Quebec’s Act respecting the protection of personal information in the private sector may also apply.

Appendix B

Outside Canada

This Appendix applies to students and families located outside Canada, including in the European Economic Area (EEA), the United Kingdom, and Switzerland. For the purposes of applicable data protection law, Ontario Education Online is the controller of your personal data.

We process your data to perform our contract with you (delivering courses and issuing Ontario credits, including the record keeping and Ministry reporting that Ontario credits require), for our legitimate interests (operating and securing the Site, measuring our advertising, and improving our courses), and with your consent where the law requires it, such as for marketing emails.

Your information is processed in Canada, which the European Commission, the United Kingdom, and Switzerland recognize as providing adequate protection for personal information handled under PIPEDA. Some of our service providers process data in other countries, including the United States. Where required, we rely on appropriate safeguards, such as Standard Contractual Clauses, to ensure the continued protection of your data.

We retain personal data as described in Data Retention, including the student records Ontario requires us to keep.

You have the right to request access to, correction of, or deletion of your personal data, as well as the right to object to or restrict processing, request data portability, and withdraw consent where applicable. Deletion does not extend to student records Ontario requires us to keep. You also have the right to lodge a complaint with your local supervisory authority.

If you live elsewhere, your local law may give you additional rights. Contact our team and we will respond in line with this Policy and the law that applies to you.
